User Groups (Security Permissions)

 
Important: User Groups must be setup BEFORE creating Users in PrintJobManager.
 
In this document, we will cover how to Create/Edit/Delete User Groups (Security Permissions). All Users are required to be assigned to a User Group. Multiple users can be assigned to the same User Group a good example would be, all of your Customer Service Representative could be assigned to the "CSR" User Group, all of your Sales Representative could be assigned to the "Sales" User Group. You can also create a User Group for an individual user if they require a unique set of permissions.  
 
Your PrintJobManager subscription has come preloaded with 4 User Groups, Customer Service RepProduction PersonnelSales Rep and a SUser (All Rights-Administrative User). Please check these Preloaded User Groups to make sure they meet your specific requirements, before assigning Users to them.

Main Menu - Overview 
  1. Gear Icon: Selecting the Gear icon  ​​ will allow you to hide any Deleted User Groups from the view. If you need to reactivate a deleted User Group Check uncheck Hide Deleted checkbox.
  2. Select Default: You can select which User Group will be the Default configuration when setting up New Users.
  3. Enter Search Terms: To search for a User Group type in the first couple of letters of the User Group's Name or Description you are looking for and select the Search Icon   the system will show all User Group, Name and Description data using the values you entered. The more data you enter into the Search Terms field a quicker and more accurate Search will be achieved.
  4. +Add New: Use this button to create a New User Group.
  5. Name (Column): Shows a listing by the Name of the User Group, by clicking on the Name header you can sort by Ascending - Descending (Alphanumeric Order). by selecting the Filter icon you will have multiple Filter/Sort options. 
  6. Description (Column): Shows a listing by the Description of the User Group, by clicking on the Name header you can sort by Ascending - Descending (Alphanumeric Order). by selecting the Filter icon you will have multiple Filter/Sort options. 
  7. Edit icon: To Edit a User Group select the Edit  icon located on the left side of the User Group you would like to Edit. 
  8. Delete icon: To Delete/Hide a User Group select the Delete  icon located on the left side of the User Group you would like to Delete/Hide.

All Users are Required to be assigned to a User Group. 
To Assign or Deny access privileges for the selected User Group.
  • On the top left side of each group there are three options you can use to making your selections a little quicker.
    1. All: By selecting All you will Grant the User Group Access to all of the permission selections in that group. You can Deselect/Inactivate individual permissions after selecting All.
    2. None: By selecting None you will Deny the User Group Access to all of the permission selections in that group. You can Select/Activate individual permissions after selecting All.
    3. Invert: Will change  Access Granted Permissions to Access Denied for this Permission and all Denied Permissions will change to Access Granted Permissions.
  • Select  (Allow Permission) or
  • Deselect  (Deny permission) 
Please follow the instructions below.
  1. Name (*Required): Provide a Name for the User Group you are creating.
  2. Description: Provide a detailed description of the User Group you are creating, you can also copy the Name and paste it in the Description field.

You have multiple Groups that contain set permissions for each area. 
  1. Jobs Permissions Set:
    • Create Jobs: Allows the user to create Jobs.
    • Estimate /Jobs:Allows the user to turn estimates into jobs. 
    • Edit Jobs: Allows the user to edit existing jobs.
    • Edit Order: Allows the user to edit existing orders.
    • Status and Time Tracking: Allows the user to change the status of a job and post time to a job.
    • Estimates and Jobs List Manager: Allows the user to create custom views in file manager.
    • File Manager:Allows the user access to the file manager.
    • Create Estimate: Allows the user to create estimates.
    • Edit Estimate: Allows the user to edit estimates.
    • Delete Estimate: Allows the user to delete estimates
    • Edit Sell Price: Allows the user to edit the sell price on estimates and jobs.
    • View Percentage: Allows the user to view the mark up percentages.
    • Edit Percentage: Allows the user to edit the mark up percentages.
    • Show Raw Cost: Allows the user to see the raw cost.
    • Send to QBO on Demand: Allows the user to send jobs to QuickBooks Online.
    • Show Tax Percentage: Allows the user to see the tax percentage.
    • Edit Tax Percentage: Allows the user to edit the tax percentage.
  2. People Permissions Set:
    • Add People: Allows the user to add people to organizations.
    • View/List People: Allows the user to view people within organizations.
    • Edit People: Allows the user to edit people within organizations.
    • Delete People: Allows the user to delete people within organizations.
    • Export: Allows the user to export the people within organizations.
    • Import: Allows the user to import the people to organizations.
  3. Organizations Permissions Set:
    • Add Organizations: Allows the user to add organizations/customers.
    • View/List Organizations: Allows the user to view organizations/customers.
    • Edit Organizations: Allows the user to edit organization/customers data.
    • Delete Organizations: Allows the user to delete organizations/customers.
    • Export: Allows the user to export the organizations/customers.
    • Import: Allows the user to import the organiations/customers/
  4. Material: Has 4 sub categories to Assign/Deny privileges to.
    • Materials Permission Set
      • Add Materials: Allows the user to create or add materials.
      • View/List Materials: Allows the user to view materials.
      • Edit Materials: Allows the user to edit materials.
      • Delete Materials: Allows the user to delete materials.
      • View/List Material Pricing: Allows the user to view the material pricing.
      • Access to Material Pricing: Allows the user to add, edit or delete material pricing.
      • Create Material Transactions: Allows the user to create/process material transactions.
      • Print/Export Materials: Allows the user to export and print material data.
      • Import Materials: Allows the user to import material data.
    • Material Inventory Bins Permission Set
      • Add Bins: Allows the user to add/create material bins.
      • View/List Bins: Allows the user to view material bins.
      • Edit Bins: Allows the user to edit material bins.
      • Delete Bins: Allows the user to delete material bins.
    • Material Categories Permission Set
      • Add Material Categories: Allows the user to create material categories.
      • View/List Material Categories: Allows the user to view material categories.
      • Edit Material Categories: Allows the user to edit material categories
      • Delete Material Categories: Allows the user to delete material categories
    • Purchase Orders Permission Set
      • Create Purchase OrdersAllows the user to create purchase orders.

  5. Scheduling: Has 3 sub categories to Assign/Deny privileges to.

General Settings: Has 18 sub categories to Assign/Deny privileges to.
  1. Product Engine Type Permission set
    • Add: Allows the user to create product engine typs.
    • View/List: Allows the user to view product engine types.
    • Edit: Allows the user to edit product engine types.
    • Delete: Allows the user to delete product engine types.
  2. Product Engines Permission Set
    • Add: Allows the user to create product engines.
    • View/List: Allows the user to view product engines.
    • Edit: Allows the user to edit product engines.
    • Delete: Allows the user to delete product engines.
  3. Users Permission set
    • Add:  Allows the user to add administrative users.
    • View/List: Allows the user to view users. 
    • Edit: Allows the user to edit users.    
    • Delete: Allows the user to delete users. 
    • Limit view based on sales rep field: Can only view jobs the sales rep is assigned to.
    • Limit view based on CSR field: Can only view jobs the CSR is assigned to.
  4. User Groups Permission set
    • Add: Allows the user access to assign/edit user group permissions.
    • View/List: Allows the user to view security permissions in the user group.
    • Edit: Allows the user to edit security permissions within a user group. 
    • Delete: Allows the user to delete user groups.
  5. Facilities Permission set
    • Add: Allows the user to create facilities/locations.
    • View/List: Allows the user to view facilities/locations.
    • Edit: Allows the user to edit facilities/locations.
    • Delete: Allows the user to delete facilities/locations.
  6. Departments Permission set 
    • Add: Allows the user to create production resources departments.
    • View/List: Allows the user to view production resources departments.
    • Edit: Allows the user to edit production resources departments.
    • Delete: Allows the user to delete production resources departments.
  7. Production Resources Permission set
    • Add: Allows the user to add production resources and production processes.
    • View/List: Allows the user to view production resources and production processes.
    • Edit: Allows the user to edit production resources and production processes. 
    • Delete: Allows the user to delete production resources and production processes.
    • Export: Allows the user to export current production resources.
    • Import: Allows the user to import to the production resources.
  8. Price Groups Permission set
    • Add: Allows the user to add price groups.
    • View/List: Allows the user to view price groups.
    • Edit: Allows the user to edit existing price groups. 
    • Delete: Allows the user to delete existing price groups.
  9. Attributes Permission set
    • Add: Allows the user to create attributes.
    • View/List: Allows the user to view attributes.
    • Edit: Allows the user to edit attributes.
    • Delete: Allows the user to delete attributes.
  10. Custom Fields Permission set
    • Add: Allows the user to create custom fields for use within the organization file.
    • View/List: Allows the user to view custom fields.
    • Edit: Allows the user to edit custom fields.
    • Delete: Allows the user to delete custom fields.
  11. General Settings Permission set
    1. General: Allows the user access to your company settings.
    2. Email: Allows the user access to your SMTP server settings and passwords.
    3. Logo: Allows the user to upload/edit/delete your company logo.
    4. Instructions: Allows the user access to the email templates that are used in print job manager.
    5. Dates: Allows the user the ability to set default due dates jobs.
  12. External Storage Permission set
    • Access Settings: Allows the user to Add/Edit/Delete the integration with Amazon S3 server.
  13. Tax Settings Permission set
    • Access Settings: Allows the user to Add/Edit/Delete Tax Settings
  14. Shipping Methods Permission set
    • Add: Allows the user to add shipping methods both integrated and non-integrated.
    • View/List: Allows the user to view all shipping methods.
    • Edit: Allows the user to edit shipping method data. 
    • Delete: Allows the user to delete shipping methods.
  15. Payment Methods Permission set
    • Add: Allows the user to create payment methods, integrated and non-integrated.
    • View/List: Allows the user to view all payment methods.
    • Edit: Allows the user to edit payment methods.
    • Delete: Allows the user to delete payment methods.
  16. Integration Services Permission set
    • Add: Allows the user access to the integration services, Pressero, Zapier.
    • View/List: Allows the user to view integration services.
    • Manage: Allows the user to edit integration services.
    • Remove: Allows the user to delete integration services.
    • View/Edit integration logs: Allows the user to view and edit the integration logs between Pressero and PJM.
  17. Reports
    • ​Access Variance Reports: Allows the user to view time variance reports. 
  18. Custom Statuses Permission
    • Custom Statuses: Allows the user to add, delete and arrange custom statuses.
